What is an HRMS?

A human resource management system (HRMS) brings everything HR does into one system with one record per employee. Instead of attendance in one register, leave in an Excel sheet and payroll with an outside consultant, every step reads from and writes to the same data.

For Indian businesses, that also means statutory rules (PF, ESI, professional tax and TDS) are worked out from the same attendance and salary data, instead of being calculated separately at month-end.

In practice vendors use the three terms loosely, and many products marketed as HRIS or HCM do the same job. Compare what the software actually covers rather than the label.

Core HRMS modules for Indian businesses

  • Employee records: personal and job details, documents, departments, reporting lines and an org chart.
  • Attendance and shifts: biometric or mobile attendance, shift rosters, overtime and late-mark rules.
  • Leave: leave policies, balances, applications and approvals, and holiday calendars by branch.
  • Payroll: salary structures, earnings and deductions, loans and advances, payslips and approvals.
  • Statutory compliance: PF, ESI, professional tax and TDS calculations and returns.
  • Expenses and reimbursements: claims with approvals, paid through payroll or separately.
  • Recruitment: openings, candidates and interview stages up to the offer.
  • Letters and exits: offer, appointment and experience letters, and full and final settlement.
  • Employee self-service: staff mark attendance, apply for leave and download payslips from their phone.

What an HRMS changes

  • Payroll in hours, not days, because attendance, leave and overtime are already in the system.
  • Fewer compliance mistakes, because PF, ESI, PT and TDS come from the same salary data every month.
  • Fewer HR queries, because employees check balances and payslips themselves.
  • Clean records for audits and labour inspections, with a history of every change.

How to choose an HRMS

  1. Check Indian statutory support for every state you operate in, including professional tax slabs.
  2. Check attendance capture that suits your sites: biometric devices, mobile with location, or both.
  3. Make sure shift and overtime rules can be set per team without custom development. Factories rarely have one rule for everyone.
  4. Prefer an HRMS that shares data with your ERP, so salaries reach accounts and headcount reaches production planning without re-entry.
  5. Try the mobile app as an employee would. If staff will not use it, self-service fails.

DotOne HRMS covers employee records and org charts, biometric and mobile attendance, shift and leave rules, payroll with PF, ESI, PT and TDS, loans, expenses, recruitment, HR letters, full and final settlement and employee self-service, on the same employee record as the rest of the ERP.

Frequently asked questions

What is HRMS?

A human resource management system: software that runs HR processes such as employee records, attendance, leave, payroll, compliance, recruitment and exits from one set of employee data.

What is the difference between HRMS and HRIS?

An HRIS mainly stores and reports employee information. An HRMS also runs day-to-day processes such as attendance, leave and payroll. Vendors often use the terms interchangeably.

What is HCM?

Human capital management: a broader view that adds talent, performance, learning and workforce planning on top of core HR and payroll.

Does an HRMS include payroll?

Most do. In India, look for one that calculates PF, ESI, professional tax and TDS from the same attendance and salary data. See DotOne Payroll.

Can employees use an HRMS from their phone?

Yes. With self-service, employees mark attendance, apply for leave and download payslips from a mobile app. See DotOne HRMS.
